How to make your event live

This article will explain how to amend your event registration status, upload a welcoming video and even set a date/time of your event live times.

We have brought a new update that enables you as an admin of the event to place a custom support article that you may have defined internally in place of our Default (platform help knowledge base). And if you want to, you can also disable the Help & Support link completely and perhaps direct your delegates to your Helpdesk on the day.

To access this new function, you have to be an Admin of the event and login into your Admin Area. Once you are in, simply go to Update content > Site / Registration and then change your Site-Wide Options that will be displayed at the top. Don't forget to click Update Site.

Let your attendees know when you are ready

We have recently made a feature that lets your attendees see the status of your event if they decide to login earlier and reach their profile.

By default all attendees will see text ‘We are not live yet. Please update your profile while you are here.’ If you don’t set your event times in the Admin Area this is what they will see. If they click ‘Enter’ they will be redirected back to their profile.

You can change that too.

Now, you have the option alongside changing the status of your event to add your event live times, so that if somebody reaches their profile before your event is live, they will see something like the below screenshot. The message will add the date and time of your event, so that your delegates can get reminded about that.

How do I change it?

It’s quite simple, in the Update Content folder go to Site/Registration, then you will now see an option in the right column called Event start date & time. Simply fill that in, and click Update reg.

This will then display the date/time in the user profile if they login before your event is live. If you don’t know when your event is going live yet, you can simply leave it blank. The message in the 1st screenshot will be show by default

Registration Options

From the main navigation in your Admin Portal on the left hand side open the Update Content folder and click on Site/Registration.

N.B. all registration fields are Per-Registration so if you have multiple registrations active please ensure you select the correct one from the Registrations dropdown before making any changes.

Agenda

You may switch off the agenda by changing the Show Agenda? field to No.

Registration Status

Here you can switch your event to live at the required time by selecting Live from the dropdown box. It is important that you check before making changes to this field as it will impact users ability to login to your platform.

Closed Registration

You may decide to close your registration if you no longer wish for anyone to be able to complete the registration form. Enter your closed message into the Title and Content field so this will display when anyone uses the registration URL. Then set the Registration Status to Closed.

Please note: setting you registration to closed also means that no users can login to the event. 

Social

It is possible to remove all social aspects from users profiles if required. Select Y or N from the dropdown to enable or disable social media, walls and connections in users profiles.

Welcome/Intro

You can now add a welcome or introductory video to your platform. You can upload this directly if you have the video asset or if it is a YouTube video you can add the URL. There is also the option to display a single slide with a welcome message displaying if you do not have a video. Again, this can be uploaded or linked. Update Content > Site / Registration > Use the Homepage Video Upload, Homepage Video URL, Homepage Slide Upload or Homepage Slide Link fields as required.

Ensure you click the Update Reg button at the top right hand side.
