How to manage emails

This article will explain how you can manage system generated emails and track email activity.

Email Manager

  • to manage email content select Email Manager from the folders list in your admin area

  • to set up or edit the registration confirmation email click on Update Email Content, then select the registration you require from the drop down list at the top

  • add the name you would like the email to come from, select a font and font size and upload a footer image if required

Registration Email

  • add a subject and your email content. You may upload an attachment such as an iCal (.ics file) so users can download the event date and information straight to their calendars. You may also make some of your text into a link to the attachment. In other words you could write ‘Click here to download the event information to your calendar’ By adding the word ‘here’ in the Email Attachment Link Text field, that will make ‘here’ be a clickable link to whatever you have uploaded in the Email Attachment field. You can click to test this email to check content and how it looks.

Reminder 1 and 2 Email 

  • there are additional emails you can send setting a date and time for issue as part of the run up to your live event/webinar/chat session. 

Notification Email

  • here you can create an email to issue to users if you want to notify them about a new piece of content. You may include a link to an area or a direct link so that the user can click to be taken straight through to the new information. To send the emails, please see section on uploading content to booths and resource centre. 

  • Click the Update button on the top to apply the changes.

Send a test email - please note the test email will go to the email account of the user requesting the test.

 

To check on how many emails have been issued click on Sent Email Overview. Here you will see how much of your mail allowance has been used and how many campaigns you have set up. 

To track your email activity select Sent Email Statuses.

  • select the email you want to view from the dropdown. You may apply a date range if required. Select the status type you would like to see and click the Search button.

  • by clicking in the circles you will be able to see which users fall into which status and you may then download a list. The username and email address will display in an Excel file.
