How to manage your auditorium shows

This video tutorial will provide all the information you need to know on creating and managing your auditorium shows.

What is an auditorium show?

An auditorium is where you can host all of your presentations in the event. An auditorium is where your delegates would be able to go and view the available presentations you have whether they are on-demand or live, pre-recorded or a mix of both. You would need to create an auditorium show for your event in order to list your presentations that will be available for viewing during the event.

Once created, the delegates will be able to browse the presentations listed in an easy-to-read list available in your auditorium, filter them by Tracks at the top or click on the View button to watch the presentation. Your auditorium shows can also host some useful information like the title and details of the presentation, speaker bios and images and the time when the presentation is going live, just like it would in a real-world event.

It’s important to remember that when setting up the auditorium shows, the times set in the Admin Area are always in UTC. However, when viewing the auditorium shows listings in the event they will adjust according to your local timezone set on your computer, so it’s easy to understand for everyone.

Managing your auditorium shows

  1. Go to Update Content and select Auditorium Shows. Choose unassigned or assigned shows from the dropdown. Assigned shows are the ones displaying in your auditorium, unassigned shows are not. To assign a show to the auditorium, click edit on the show, under the Auditorium field, choose the name of your auditorium and click update.

  2. Shows that are highlighted in green mean they are in the Live tab in the auditorium. Those that are highlighted red will display in the On-Demand tab in the auditorium. It is possible to change the display order of these shows by dragging and dropping them as required.

  • Current – a presentation will display in the auditorium but selecting ‘Current’ means the View button will not display.

  • Live – clicking ‘Live’ will make the View button display in the auditorium next to the presentation. When you click live you will be asked whether you want the View button to display immediately or whether you want to set a date and time for it to display.

  • On-demand – this is to make a presentation display in the On-Demand tab.

  • Edit – use this to make any changes to the auditorium show.

  • Delete – to delete the auditorium show completely. This does not delete the associated webcast.

All of your auditorium shows will always be ordered in Date/Time order if you set the Date and Time. If you have accidentally reordered your Auditorium Show you can reset the order by clicking on the Reset Order button.

Creating your auditorium shows

  • You will need to enter all the information for your auditorium show such as title, subtitle, description, a presenter image and date and time

  • You can group auditorium shows into tracks for easy searching

  • Your auditorium show can connect to various places such as a webcast, a page link, a booth, a YouTube or Vimeo link or you can upload an audio or video file directly.
